Policy statement for SWMTF funding requests
Purpose:
The purpose of this document is to provide guidelines for funding
arrangements for SWMTF committee meetings and members who may be approached by
local musicians and for general advice to committee members.
Objective:
To ensure that we present a consistent and 'joined-up' response to funding
requests
General:
In general, funding will rarely be approved for the full-amount. The
reasoning behind this is to ensure that requestors are serious enough to provide
their own funding for at least 50% of the request.
Any committee member approached should advise use of the website to lodge a
request. At this point, no indication of the chances of success should be given!
Refer the requestor to the SWMTF website (www.swmtf.org.uk) specifically the
'What we have done so far' and 'Previous Minutes' sections, in order to give
them some idea of what to ask for, and what levels we have previously
considered, rejected and approved. The requestor should not commit to any
expenditure, or book studio/rehearsal time before receiving approval for funding
and payment arrangements.
The Secretary will circulate all requests to the full committee email
address, and add an Agenda Item so that the request can be discussed at the next
full committee meeting. A confirmation of the request and the date of the next
meeting should be sent to the requestor and copied to the full committee
(usually via email).
Funding guidelines:
1. Rehearsal time - £25 per session at The Music Centre, or The Angel. The
first rehearsal to be monitored by committee member (or Ross) to ensure that the
requestor(s) are serious. Further funding to be agreed up to a limit of £150.
After this point, we expect that the band would be ready to fund their own
rehearsals by gigging.
2. Recording time - More established bands may request help with funding
recording time for demo's, promotional CD's etc. 50% of the cost, up to a
maximum of £250 (£500 Should be enough for a day in the studio and a day's
mixing?) John Verity or Lost Boys are our preferred options, but the committee
will consider other studio's provided that they can supply a valid invoice - No
Invoice, No Payment!
3. Equipment - No hard and fast rules, but the requestor is expected to fund
50%. A maximum ceiling of £250 should be our current guide, as most
'reasonable' items should be available for £500. Invoice required from
reputable business. If the gear is to be purchased second hand, then a committee
member will be deputised to do the deal.
4. Other requests will be considered by the full committee and communicated
in the same way.
Whatever the committee agree should be communicated by the secretary, along
with the 'rules' for the particular purchase. Wherever possible, a committee
member should validate the price (and attempt to negotiate a discount by using
the fund's status) |
